Guest Relations Director

Position Summary

Manage and serve, along with Guest Services staff, as a positive “first impression” for visitors, guests and callers to Texas Discovery Gardens. Convey a courteous, professional image in person and on the telephone. Ensure the greeting of all Texas Discovery Gardens’ visitors in a friendly and positive manner; efficiently and accurately facilitate bookings, admission, donation and membership transactions utilizing the Explorer ticketing system, direct and correctly answer all guest inquiries with the support of Guest Relations staff. Work and cooperate with senior staff team to ensure best practices for the organization in order to fulfill mission. Manage programs to ensure operational budget projections are met and assist in reporting needs for a major fundraising and building campaign. Respond to guest relations issues, coordinate and maximize Texas Discovery Gardens' education programs. 

Qualifications

  • Bachelor’s degree with 2 years nonprofit experience/Associate degree with 5 years nonprofit experience/ 10+ years nonprofit experience
  • Consummate team play with experience supervising others
  • Excellent math and cash-handling skills
  • Excellent communication skills and able to quickly shift gears and multi task
  • Extremely organized and thrives in fast paced environments
  • Advanced computer skills with database management a plus
  • Advanced experience working with the general public with a desire to put customer service first
  • Ability to complete tasks successfully with minimal supervision
  • Must be able to accurately convey information in English, and bilingual fluency in Spanish is preferred

Responsibilities and Duties

  • Act as Floor Manager, schedule and supervise all Guest Relations staff
  • Ensure the adherence of financial and cashier protocols in accordance with policy
  • Ensure the answering of general questions about exhibits, gardens and rentals in person and via telephone
  • Monitor visitors, lobby and vestibule area and report all issues so they may be addressed  
  • Promote bookings of programs through proactive outreach, including phone, email, and mail with the assistance of Guest Relations staff
  • Assist Guest Relations to check in participants of educational programs upon arrival and ensure accurate documentation
  • Accurately enter, organize and print memberships mailings and electronic communications utilizing the Versai Museum system
  • Assist PR/Marketing with promotions, guest surveys, taking photos/videos of classes, activities, events and gardens
  • Assist in the Butterfly House, Gardens, bi-annual plant sale and other special events. 
  • Serve as Rental department liaison, cooperate & coordinate with to increase sales
  • Assist with art gallery operations-openings, address artists’ needs during installation and tear down of shows

Physical Requirements

  • Ability to stand/walk for extended periods of time
  • Ability to exert up to 100 pounds of force occasionally, and/or 20 pounds of force frequently to lift, carry, push, pull or otherwise move objects for exhibits

  • Must be able to work with and understand financial information and data, and basic arithmetic functions
  • Must be able to evaluate and select among alternative courses of action quickly and accurately
  • Must be effective at listening to, understanding and clarifying the concerns of visitors, volunteers and co-workers
  • Must maintain confidentiality of all financial, membership and donor information
